Reservation policies & procedures

PLEASE READ THESE POLICIES AND PROCEDURES CAREFULLY. 

Your cost is based on the services detailed above and is subject to change per your actual itinerary. Please read the Terms and Conditions on the last page of this contract. Return a signed copy of this contract with your deposit. A signed contract and deposit will confirm your reservation and acknowledge your acceptance of this agreement.

By placing a reservation with Burton Transit, LLC (“Burton Transit” or the “Company”), either by telephone,fax, email, online on this site, or in any other manner, you accept, without limitation or qualification, the following POLICIES AND PROCEDURES. You further expressly authorize the Company to charge your credit card in full for all charges relating to your reservation.

  • In order to secure equipment and other services, signed copies of your confirmation and booking conditions must be on file in our office with full payment. If your full payment is not received by the dates indicated above, your confirmation will be subject to cancellation with no guarantee of subsequent equipment availability.

  • Please feel free to reconfirm your trip with your sales person prior to your departure during regular hours. Our 24 hour operations team is for emergencies and last minute bookings only. Please refrain from calling after hours to reconfirm your reservation.

  • A 100% non-refundable deposit is required at the time of booking. All deposits are non-refundable and non-transferrable.

  • In the event a cancellation is necessary, all cancellations must be in writing, sent via e-mail to reservations@burtontransit.com. Under no circumstances will cancellations be accepted via text message. The are no refunds issued for cancellations.

  • Optional services such as tour guides will be booked only upon receipt of deposit and cannot be confirmed until payment is received. We strongly suggest that these services be secured 90-120 days in advance.

  • Your service is confirmed for the contracted time only. Extension of service during reservation is subject to availability, must be approved by our dispatch department and may require credit card payment. We provide a 15-minute grace period for our clients. If this charter extends by more than 30 minutes, one hour will be charged. The hour charge will be assessed for each hour thereafter, contingent upon availability. You will be required to sign your driver's work order to extend service.

  • Requests for specific drivers should be made at the time of booking and submitted in writing with the signed confirmation and booking conditions but not later than 10 days before departure. Although we always attempt to accommodate these requests, due to scheduling, driver assignments cannot be guaranteed.

  • The driver is here to serve you and your group. Therefore, if you feel your driver has met and exceeded your needs, a gratuity can be extended at either the time of booking or given directly to the driver.

  • We will not discriminate against persons on the basis of disability. We seek to the extent feasible, to accommodate the needs of all passengers so they are able to enjoy our vehicles. Clients requesting wheelchair accessible vehicles must fill out an ADA Form so that we are fully aware of any special medical, physical or other requirements you may have. Please contact your sales rep to coordinate.

    In limited situations where an individual with a disability would be unable to satisfy certain specified safety and other criteria, even when provided with appropriate auxiliary aides and services, we will not permit the person to travel unless they are able to make alternative arrangements that would enable them to meet such criteria.

  • The chartering party assumes all responsibility for any damage to the vehicle caused by any passenger. A signed credit card authorization or a $250.00 refundable security deposit may be required.

  • We are not responsible for any items left onboard the vehicle, stowed items, traffic conditions, mechanical failures or conditions due to war or acts of God. We are not liable for any losses that may be incurred by the client for services they may have secured through other vendors.

  • Your group is responsible for notifying Dispatch of any flight changes. Services may be rescheduled based on availability. Additional charges may apply.

  • Just like an airline pilot, the number of hours that one vehicle driver can be on duty are strictly limited by federal law.*

    What are the facts?

    *Your driver can drive up to 10 hours, and then must have 8 hours off duty before driving again.

    *Your driver may work up to 15 hours, which includes both working and non-driving duties. Once the 15 hour limit is reached, the driver must have 8 hours off duty.

    *Your driver may work up to 70 hours in any 8-day period, which includes driving and non-driving duties. A driver may not drive after reaching this limit.

    The consequences of exceeding these limits include:

    *Your driver being “put out of service” on spot, during a surprise state or federal roadside inspection of your drivers log book, severely delaying your group while another driver is located and transported to your vehicle.

    *The safety of your entire group being put at extreme risk, due to driver fatigue.

    *Further penalties to your driver and vehicle company, including criminal penalties, that could threaten their livelihoods.

    So, please don't pressure your driver to break the law by changing your itinerary. Remember, the lives of your entire group are in your drivers hands.

    Compliance with Department of Transportation/Multi-Day Trips

    1. Our drivers must be fully informed prior to departure to assure that we are in compliance with DOT regulations. A complete itinerary for the entire trip must be submitted at the time the full payment is made or not later than 10 days prior to departure. The itinerary must include full details regarding all stops, addresses and times the group will need the use of the vehicle during the entire trip. The itinerary will determine the necessity for relief driver(s) and additional charges if applicable. The cost quoted for this vehicle does NOT include additional hours and/or miles due to changes in your itinerary. The chartering party assumes all responsibility for any applicable entrance fees, parking fees, and tolls.

    2. We reserve the right to substitute equipment if necessary.

    3. The chartering party is required to reserve and pay for the driver's hotel accommodations and parking for the vehicle(s) when applicable.
